Ethiopia Commodity Exchange looking for a qualified applicant for the following open position:

Executive Assistant

Duty Station: Head Office-Addis Ababa

Reporting to: CEO


Job Purpose
The Office of the CEO is made out of five key functional units namely Corporate Communication, Project Management, ECX Institute, Legal Counsel and Internal Audit. The role of the Special Assistant to the CEO is to plan, organize, direct, coordinate, facilitate and follow up the activities of the units in the Office. The Special Assistant shall produce a consolidate action plan of the units under the Office that is aligned to the strategic and operational plan of the Exchange and ensures its implementation. He/she is expected to lead, manage and coordinates the day-to-day activities of the Office.

Duties and Responsibilities
Under the general supervision of the CEO, plans, organizes, directs and controls the activities of the Office of the CEO.
Produces action plan of the Office that is aligned to the strategic and operational plan of the Exchange and ensures its implementation.
Drafts local and international correspondences, presentations, and speeches for the CEO.
Responsible to take Senior Management’s meeting minute and prepare the report of the same.
Handle key correspondences and schedules of the Office and ensure calendar management, office coordination, meeting scheduling, and external relations of the office.
Defines and amass essential information from internal and external sources and make available to the Office.
Coordinates and facilitates the participation of the ECX in local and international events.
Develops ways and means for improving the communication activities of the Office. Liaise with and support functional Units in issues related to the office.
Produces, distributes and follow up invitations to individuals and organizations to events organized by the Office.
Coordinates and hosts incoming visitors, and guests of the Office in association with the Communication Team.
Handles logistics, filing and recordkeeping of the office and responsible to handle the distribution of incoming and outgoing letters of the office.
Conducts research and analysis of various issues as directed by the CEO.
Follow up preparation and timely submission of periodic reports to the Office.
Ensures that official stamp of the exchange is used for official business only.

Required Qualifications and Experience

BA or MA in Economics, Business Management, Business Administration, Management and Journalism and Communication or any other related field. Second degree is preferred.
BA and 8 years of experience or MA and 6 years of experience in hands-on/demonstrated experience in managing correspondences and schedules; coordination activities and corporate events, as well as producing reports and experience in corporate communications.
